Privacy Policy

1. Who this policy covers

This policy applies to:

• Visitors to the EduManage Plus marketing site and school-auth pages
• Authorised school users: administrators/principals, teachers, students, parents/guardians, accountants, librarians, and other roles created by a school
• Users of the EduManage Plus Android Trusted Web Activity (TWA) that loads the live portal

2. Roles and responsibilities

• Your school decides what student, staff, fee, attendance, exam, and communication data is entered into EduManage Plus, who may access it, and how long it should be kept for school operations. For most school records, the school is the organisation that controls that data.
• EduManage Plus provides the software, hosting, and platform tools that process school data on the school's instructions, and processes limited platform account and technical data needed to run the service.
• Parents and students should contact their school first for corrections to academic, attendance, fee, or profile records held in the school portal.

3. Information we collect

3.1 Account and access data

• Name, email, phone number (where provided), role, and school affiliation
• Login credentials and session information used to keep you signed in securely
• School selection / multi-campus context when a user belongs to a registered school

3.2 School operations data (entered by schools)

• Students & staff: profiles, classes/sections, guardians, status (active / inactive)
• Attendance: period-based attendance, teacher check-in related records, and optional attendance-device / timetable mapping data configured by the school
• Academics: subject assignments, timetables/bell times, exam cycles, marks, and student performance views
• Finance: fee structures, invoices, payment records, notes, and related billing period information (for example monthly fee invoices)
• Communication: announcements, in-app alerts/notifications, and delivery settings chosen by the school
• Documents: student documents uploaded by authorised users (stored with our file storage provider when configured)
• Resources: rooms/resources and timetable assignments used for scheduling and conflict checks

3.3 Device, app, and technical data

• Browser/app type, approximate device information, and basic usage/security logs
• Push notification tokens (Firebase Cloud Messaging) when a user allows notifications in the browser or Android app
• IP address and diagnostic logs needed to secure and operate the service

3.4 Messaging configuration (school-controlled)

• Schools may configure email (SMTP / school email settings) and optional WhatsApp session settings inside Admin → Settings → Communication
• Message content and recipient phone/email addresses used for announcements or alerts are processed to deliver those messages on the school's behalf

3.5 Support communications

If you contact us (for example at [email protected] or [email protected]), we process the content of that request to help you.

4. How we use information

• Operate the EduManage Plus web portal and Android app
• Authenticate users and enforce role-based menus and permissions
• Provide school features: students/staff, attendance, timetable, exams/marks, finance invoices and payments tracking, announcements, documents, reports, and dashboards
• Send in-app alerts and optional push notifications when enabled
• Send school-configured email and optional WhatsApp messages
• Maintain multi-school tenancy (separate school workspaces/databases where applicable)
• Run backups, security monitoring, abuse prevention, and technical support
• Improve reliability and usability of EduManage Plus

We do not sell personal information. We do not use school student academic records for third-party advertising.

5. How information is shared

Information may be shared only as follows:

• Within the same school: with other authorised users according to their role (for example a teacher seeing class attendance, a parent seeing their linked child's fees)
• Service providers that help run EduManage Plus, such as cloud hosting, PostgreSQL database hosting, email delivery, Firebase Cloud Messaging (push), Cloudinary (document files when used), and related infrastructure — under contractual/operational safeguards
• Messaging platforms when a school enables email or WhatsApp delivery (messages are sent through those channels using the school's configuration)
• Legal / safety: when required by law, court order, or to protect users, schools, or the platform

Schools on EduManage Plus are isolated from each other: users of one school are not given access to another school's tenant data through normal product permissions.

6. Push notifications, email, and WhatsApp

• Push: optional. If enabled, we store an FCM token to deliver alerts (fees, messages, attendance-related notices, and similar school events).
• Email: sent using the school's configured email settings when the school chooses email delivery.
• WhatsApp: optional and school-configured. If a school connects WhatsApp, message content and recipient numbers are processed to send school communications. Schools remain responsible for obtaining any required consent from recipients and for complying with WhatsApp and local messaging rules.

Users can disable push notifications in device/browser settings.

7. Children and student data

EduManage Plus is designed for educational institutions and commonly stores information about students who may be minors. Schools must collect and use student/parent data lawfully, including any required parental/guardian consent under applicable education or data-protection rules. Parents should contact the school for access, correction, or questions about a child's school records in the portal.

8. Storage, retention, and backups

• Production school data is stored in databases and related storage used by EduManage Plus (including per-school tenant databases where enabled).
• We retain information while a school account remains active and as needed for security, backups, dispute resolution, and legal obligations.
• Schools may export or request deletion of institutional data subject to verification and any legal retention needs (for example finance or academic records the school must keep).

9. Security

We use reasonable safeguards appropriate to an education SaaS product, including HTTPS, access controls, school tenancy separation where applicable, and operational monitoring. No online system is perfectly secure. Schools should use strong passwords, limit admin access, and deactivate users who leave the institution.

10. Your choices

• Update profile details in the school portal where available
• Ask your school admin to correct student/staff/fee records
• Turn off push notifications on your device
• Request account/data deletion via edumanageplus.org/account-deletion

11. International processing

Depending on hosting and vendors, information may be processed in countries other than where you or your school are located. We take steps designed to protect information consistent with this policy.

12. Changes

We may update this Privacy Policy. The latest version will be posted on this page with a revised "Last updated" date.
